Your journey simplified: Where entrepreneurs and enterprises co-create success!

Background
Awfis is an Indian co-working space provider for startups, freelancers, and entrepreneurs. It offers affordable, tech-enabled environments. I contributed to the Awfis Flex Workspaces, focusing on a 'Sharing Economy' business model for immediate bookings.
This project is protected by NDA. Hence, I can showcase limited information publicly.
Overview
How might we design a co-working app that facilitates collaboration, simplifies booking and payment, and offers networking opportunities to entrepreneurs?
Impact
14.87% increase in application traffic
Solution Features

Tailored notifications based on user schedules and flexible location selection for services, enhancing personalization and convenience within the app.
Process
In a three-day workshop, we engaged in collaborative sessions with the client's key stakeholders—including the CEO, CTO, product owners, marketing leads, and developers—to gain a deep understanding of their business model, objectives, and expectations for the product.
Workshop Intent
-
Understand the vision for the product
-
Capture business objectives and goals
-
Understanding competition and benchmarks

Understanding Business
System Management Map

Through the workshop, we defined the project's vision, crafted a clear problem statement, and developed a system management map to align with client expectations. We also identified both international and domestic competitors, setting the stage for comprehensive research.
Opportunity Statement
"
A mobile application that acts as a one-stop solution/single platform for enterprises and individuals to enable a seamless and convenient workplace experience
"
Facing the client's eagerness for immediate visuals, we stressed the crucial role of the design process, I used an architecture analogy to illustrate the necessity of grasping user requirements first, much like the preliminary planning before constructing a house.

Research
Surveys
Utilizing surveys as our primary research tool, we explored the behaviors and challenges users encounter with co-working spaces.
• Surveyed 100+ co-working space users for themes
• Guided qualitative research
• Formulated targeted interview questions for insights
Insights:
01
Seamless Booking and Flexibility
02
Community Engagement Tools
03
Resource and Amenities Information
User Interviews
• Interviewed 20 diverse users
• Verified survey results
• Enhanced user experience design insights

Affinity Mapping
Through affinity mapping, we organized a wealth of feedback into key themes, uncovering patterns in co-working space usage. This strategic categorization highlighted two distinct user personas: a full-time employee and an entrepreneurial visitor.

By focusing on these personas, our approach to designing co-working spaces becomes more nuanced and user-centric, ensuring our solutions cater effectively to the diverse needs of our community.

I made a case to stakeholders for visiting competitors' sites, arguing that to design an effective coworking app, one must see firsthand how it complements its physical environment, underscoring the need for an immersive analysis.

Conceptual Sketches
As a team, we carried out an Ideation Session, where we sketched out individual ideas of different concepts using the research insights with the stakeholders from Awfis.

User Flows
We charted the onboarding flow for employees, from app download to KYC completion and verification, before starting their daily routine.
Employee (Day 0)

We mapped an employee's daily app-guided journey from parking to meetings and events, highlighting opportunities for app-delivered delights.

User Journey Map
Collaborating with the marketing team, we crafted a user journey map to analyze and enhance customer interactions from initial contact to regular use, ensuring targeted marketing and improved user satisfaction.

Navigation Concept Exploration
After synthesizing our research insights, we delved into conceptual exploration, benchmarking against competitor apps. This involved numerous iterations to refine and arrive at the final concept.

Metrics
• Task Completion Rate
• Satisfaction Rate
• Qualitative Feedback
Out of all the feedback that we received, the following points stood out
01
Inefficient workflows
Can slow down users and cause frustration if the app lacks preferred features or requires too many steps to complete a task.
02
Lack of transparency
Inefficient workflows can slow down users and cause frustration if the app lacks preferred features or requires too many steps to complete a task.
03
Consistency
Inconsistent design or functionality across screens can confuse and frustrate users. It's important for the app to have a cohesive design and functionality throughout.

Accessibility Check

To ensure accessibility in our application, we leveraged WebAIM as a tool to measure the contrast ratio of text and button colors, meeting WAG AA standards.
Additionally, we enhanced legibility and reduced cognitive load by utilizing the fonts Lato and Open Sans. Furthermore, we opted for neutral colors in illustrations and photos to minimize visual distractions.

Learnings & Reflections
01
Research methods:
We used surveys, interviews, and observational methods to gather both quantitative and qualitative data, which helped confirm our personal findings and make informed design decisions.
02
I learned:
Collaborating with stakeholders, consultants, and developers helped me understand the entire product design to launch cycle and bring the design to life.
03
I would change:
the application to prioritize one feature set, enhancing usability. This addresses the challenge users faced with the original, overly complex design, filled with too many features, making it more user-friendly.
